Wedding Photo Sharing Checklist
A simple checklist for collecting the candid photos and videos your guests capture, without chasing links, texts, or social posts after the wedding.
Plan it once, collect everything
Your photographer captures the headline moments; your guests catch the candid ones. Work through these three short lists and every photo and video lands in one place — not scattered across phones and group chats.
Before the wedding
- Choose one place for guest uploads, so nothing gets split across apps.
- Create your QR code and private upload link.
- Add the QR code to your wedding website.
- Add the QR code to your welcome sign and table cards.
- Decide whether guests can view the shared gallery, or just upload to it.
- Test the upload flow from a phone, start to finish.
- Tell your wedding party and family where to find it.
During the wedding
- Put QR signs where guests naturally pause — the bar, tables, the photo wall.
- Mention it once during cocktail hour or the reception.
- Add a small reminder near the guestbook or card table.
- Ask your DJ or coordinator to make one quick reminder, if it fits the moment.
- Keep the instructions short: “Scan. Upload. Done.”
After the wedding
- Send the upload link in your thank-you message.
- Ask guests to add their favorites from their camera roll.
- Download and back up your full gallery.
- Save the messages and videos alongside your photos.
- Share the gallery once you’ve reviewed it, if you’d like to.
Common mistakes to avoid
Almost every problem with guest photo sharing comes down to one of these. They’re easy to head off before the day.
Too many upload options
An email address, a hashtag, a shared album, and a QR code all at once just splits your photos four ways. Pick one place and point everyone to it.
Showing the QR code only once
A single mention early in the night is easy to miss. Repeat the code on signs and table cards so guests find it whenever they think of it.
A tiny QR code on the sign
If guests have to lean in to scan, they won’t. Print the code large and keep it clear of clutter so a phone locks on from a step away.
Waiting until after the wedding to introduce it
The best candids happen in the moment. Introduce uploads during the day so guests share while the memory — and the photo — is fresh.
Using a platform that needs app installs or logins
Every download or sign-up loses guests. Choose something that opens straight in the phone browser so anyone can upload in seconds.
