Make It Work

Budget planning tips

Five habits keep a wedding budget honest from your first estimate through the final payment.

Start with your guest count

Almost every major cost — catering, bar, rentals, invitations, favors — scales with how many people you host. Settle on an approximate headcount first, and the rest of the numbers fall into place.

Separate must-haves from nice-to-haves

Decide early which two or three things matter most to you both, fund those first, and treat everything else as flexible. It makes every later trade-off easier.

Track deposits and final payment dates

Most vendors take a deposit up front and the balance close to the day. Note each due date next to its category so nothing surprises you in the final weeks.

Always add a buffer

Set aside roughly an extra slice on top of your total for tips, taxes, overtime, and the small things that come up. A budget without a buffer rarely survives contact with the actual day.

Don’t forget the guest experience

Small line items shape how the day feels and how it’s remembered — signage, QR cards, and memory collection. A digital guestbook or one of these wedding photo sharing apps is an inexpensive way to capture every photo and message from your guests.

Make your memory budget go further

A free HiveMoments digital guestbook collects every guest photo, video, and message from a single QR code — no app for guests, and yours to download afterward. It’s one of the smallest lines on the worksheet with one of the biggest payoffs.

A Starting Point

A simple sample allocation

Every wedding is different, so treat this as an example starting point rather than a rule or financial advice. It’s a way to picture the relative size of each bucket before you fill in real numbers.

  • Venue & catering — usually your largest single bucket.
  • Photography & video — a major memory bucket most couples protect.
  • Attire, beauty, decor, music & planning — flexible middle buckets you can scale up or down.
  • Guest experience & keepsakes — a small but meaningful bucket, like signage and a digital guestbook.
  • Buffer — always include one for tips, overtime, and surprises.

This worksheet is for general planning only and isn’t financial advice. Real costs vary widely by location, season, guest count, and the vendors you choose.
